Privacy Policy for the Management of Client Information

This document describes the privacy policy of Regenerative Psychology for the management of clients’ personal information. The psychological service provided is bound by the legal requirements of the Australian Privacy Principles set out in the Privacy Act 1988 (Cth).

Client information

Client files are retained on Halaxy which is a secure practice management software, this is accessible only to authorised employees. For more information regarding Halaxy, please read the Halaxy Terms of Service and the Halaxy Privacy Policy. The information on each file includes personal information such as name, address, contact phone numbers, medical history, and other personal information collected as part of providing the psychological service.

How clients’ personal information is collected

A client’s personal information is collected in a number of ways during psychological consultation with Regenerative Psychology, including when the client provides information directly to Regenerative Psychology using hardcopy forms, correspondence via email, when the client interacts directly with Regenerative Psychology employees such as the receptionist, and when other health practitioners provide personal information to Regenerative Psychology, via referrals, correspondence and medical reports.

Consequence of not providing personal information

If the client does not wish for their personal information to be collected in a way anticipated by this Privacy Policy, Regenerative Psychology may not be in a position to provide the psychological service to the client. In some circumstances, clients may request to be anonymous or to use a pseudonym, unless it is impracticable for Regenerative Psychology to deal with the client or if Regenerative Psychology is required or authorised by law to deal with identified individuals.

Purpose of holding personal information

A client’s personal information is gathered and used for the purpose of providing psychological services, which includes assessing, diagnosing and treating a client’s presenting issue. The personal information is retained in order to document what happens during sessions, and enables the psychologist to provide a relevant and informed psychological service. Information will be retained for a period of 7 years, or until the client reaches 25 years of age (whichever is longer) as per legislative requirements.

Disclosure of personal information

Clients’ personal information will remain confidential except when:

  1. it is subpoenaed by a court; or 
  2. failure to disclose the information would in the reasonable belief of Regenerative Psychology, place you or another person at serious risk to life, health or safety; or 
  3. your prior approval has been obtained to
    • provide a written report to another professional or agency. e.g., a GP or a lawyer; or 
    • discuss the material with another person, eg. a parent, employer
  4. a regulatory body requests this information; or
  5. the disclosure is otherwise required by law (e.g. as part of a WorkCover claim).

Clients’ personal information will not be used, sold, rented or disclosed for any other purpose.

Requests for access and correction to client information

At any stage clients may request to see and correct the personal information about them kept on file. The psychologist may discuss the contents with them and/or give them a copy, subject to the exceptions in the Privacy Act 1988 (Cth). If satisfied that personal information is inaccurate, out of date or incomplete, reasonable steps will be taken in the circumstances to ensure that this information is corrected. All requests by clients for access to or correction of personal information held about them should be lodged with Regenerative Psychology in writing via email lauren@regenerativepsychology.com.au or mail PO Box 82, Holbrook NSW 2644.

These requests will be responded to in writing within 30 days, and an appointment will be made if necessary for clarification purposes. If an appointment is required this will be charged at the standard consultation and no rebate will be available.

Concerns

If clients have a concern about the management of their personal information, they may inform Regenerative Psychology. Upon request they can obtain a copy of the Australian Privacy Principles, which describe their rights and how their personal information should be handled. Ultimately, if clients wish to lodge a formal complaint about the use of, disclosure of, or access to, their personal information, they may do so with the Office of the Australian Information Commissioner by phone on 1300 363 992, online at http://www.oaic.gov.au/privacy/making-a-privacy-complaint or by post to: Office of the Australian Information Commissioner, GPO Box 5218, Sydney, NSW 2001.

Halaxy payment processing fees

When commencing with Regenerative Psychology, you authorize Halaxy Pty Ltd (ACN: 633 220 612) to store your debit/credit card and debit payments from your nominated card stored on Halaxy when you have or cancel an appointment or are provided with a service by Regenerative Psychology.

As a client (or client parent) you consent to paying any Halaxy payment processing fees (maximum cost 2% + $1 per transaction) applicable to your service/consultation.

Automatic payments and rebates

Where agreed, Regenerative Psychology is able to utilise Halaxy to automatically process fees at the time of your appointment via your nominated credit/debit card. This means you do not need to arrange payment at the end of your appointment allowing you to focus on your consultation. When an automatic payment is processed you will receive an invoice via email. Payment processing fees apply.

For eligible clients, Medicare rebates will be automatically processed on your behalf following an appointment.

Use of AI

Notice Regarding the Use of ChatGPT in Regenerative Psychology Resources:

We want to inform you that ChatGPT, an artificial intelligence tool, may be used in creating materials for Regenerative Psychology. While ChatGPT is a helpful tool, it doesn’t replace human expertise. Our team reviews content for accuracy and appropriateness of the content, however user discretion is advised.

There are no official ethical guidelines provided by psychological bodies. We have adopted the guidelines proposed by Psychology Squared which can be reviewed at https://psychologysquared.com.au/ai-standards. Your use of Regenerative Psychology resources means you understand and accept the incorporation of ChatGPT in the development process. Changes to This Policy

At our discretion, we may change our privacy policy to reflect updates to our business processes, current acceptable practices, or legislative or regulatory changes. If we decide to change this privacy policy, we will post the changes here at the same link by which you are accessing this privacy policy.

If required by law, we will get your permission or give you the opportunity to opt in to or opt out of, as applicable, any new uses of your personal information.
